Xoxo Couture ("we," "us," "our") is a bridal design, alterations, and accessories studio in West Kelowna, British Columbia. This policy explains what personal information we collect through www.xoxocouture.ca, our Etsy shop, and our studio, how we use it, and the choices you have. We handle personal information in line with British Columbia's Personal Information Protection Act (PIPA) and, where it applies, Canada's Personal Information Protection and Electronic Documents Act (PIPEDA).
What we collect
- Order information: your name, email, phone number, billing and shipping addresses, and what you bought. Payment card details go directly to our payment processor. We never see or store your full card number.
- Appointment and service information: if you book a fitting, alterations or a custom design, we collect the details needed to do the work. These include contact details, your wedding or event date, garment measurements, notes about your gown, and photos of your gown or fittings.
- Messages: what you send us by email, website contact form, Etsy message or social media.
- Email sign-up: your email address, if you join our mailing list.
- Browsing information: information collected automatically when you visit the site, such as browser and device type, IP address, pages viewed and how you arrived. This is collected through cookies and similar technologies (see "Cookies" below).
How we use it
- To process, ship and support your orders, including handling returns and exchanges
- To schedule appointments and carry out alterations and custom work
- To reply to your questions and send order and appointment updates
- To send marketing emails, only if you've signed up. Every email includes an unsubscribe link, as required by Canada's anti-spam law (CASL)
- To understand how the site is used and improve it
- To keep business and tax records, and to prevent fraud
We will only use your information for another purpose if we ask for your consent first or the law allows it.
Photos of your gown or fittings
Photos taken during appointments are used to do your work. We will never post photos of you or your gown on our website or social media without your permission.
Who we share it with
We don't sell your personal information. We share it only with service providers who help us run the business, and only as much as they need:
- Shopify: hosts our online store, checkout and customer records. It also provides our email tool (Shopify Messaging).
- Payment processors: Shopify Payments, Shop Pay, Apple Pay and Google Pay process your payment.
- Canada Post: delivers your order. For US orders, Canada Post works with Zonos to calculate and prepay US import duties.
- Etsy: if you order through our Etsy shop, Etsy's own privacy policy also applies.
- QuickBooks Online (Intuit): for our accounting and tax records.
We may also disclose information if the law requires it, for example in response to a court order.
Where your information is stored
Some of our service providers, including Shopify, store and process information outside Canada, mainly in the United States. While it is there, it may be accessed by courts, law enforcement or national security authorities in those countries under their laws.
Cookies
Our store uses cookies, small files saved by your browser. They keep your shopping cart working, remember your preferences, and give us basic statistics about how the site is used. In some regions, Shopify shows a cookie banner where you can choose which cookies to allow. You can also block or delete cookies in your browser settings, though the cart and checkout may not work properly without them.
How long we keep it
We keep order and accounting records for as long as Canadian tax law requires, generally six years. We keep appointment and measurement records while you're a client and for a reasonable time afterward in case you need further work. Other information is kept only as long as it's needed for the purpose it was collected for.
Keeping it safe
We use reasonable safeguards to protect your information. These include secure, encrypted checkout through Shopify, password-protected accounts, and limiting access to the people who need it.
Your choices and rights
You may ask to see the personal information we hold about you, correct it, or withdraw your consent to its use (for example, to stop marketing emails). You may also ask us to delete it, unless we're required to keep it, such as for tax records. Email us at the address below, and we'll respond within 30 days.
Children
Our site and services are intended for adults. We don't knowingly collect personal information from children under 13. If you believe a child has given us information, please contact us, and we'll delete it.
Changes to this policy
We may update this policy from time to time. The date at the top shows when it was last changed.
